How to Use NotifyU

Everything you need to know to get started and make the most of your institute management platform.

Getting Started

Welcome to NotifyU! Follow these steps to set up your institution and start managing everything from one place.

Step 1: Create Your Account

Visit the admin login page and register your institution. You'll need to provide basic information about your institution including name, address, and contact details.

Step 2: Configure Academic Structure

Set up your departments, classes, sections, and subjects. This forms the foundation of your academic management.

Step 3: Add Users

Add students, teachers, parents, and staff members. You can add them individually or import via CSV.

Step 4: Start Using Features

Once your data is in place, you can start taking attendance, scheduling exams, collecting fees, and more.

Tip: You can customize the dark/light theme from the toggle in the navigation bar.

User Management

The User Management module lets you manage all four user types: Students, Teachers, Parents, and Staff.

Adding Users

Navigate to the relevant user section and click "Add New". Fill in the required fields. You can upload a profile photo via Cloudinary integration.

Bulk Import

Use the CSV Export/Import feature to add multiple users at once. The system will validate and create accounts automatically.

Managing Profiles

Each user has a detailed profile page where you can view their associated records — attendance, fees, marks, and more.

Tip: Use the filter bar to quickly find users by name, class, section, department, or status.

Academic Management

Organize your institution's academic structure with departments, classes, sections, subjects, syllabus, and class routines.

Departments, Classes & Sections

Create your academic hierarchy. Classes are ordered numerically, and sections represent sub-groups within each class.

Subjects & Teacher Assignment

Define subjects with total marks, pass marks, and subject type. Assign teachers to each subject.

Class Routine

Build a weekly timetable by assigning subjects, teachers, time slots, and rooms to each class section.

Syllabus

Upload syllabus documents (PDF, images) and organize them by class for easy student access.

Class Teacher Assignment

Assign a teacher as the class teacher for each class-section combination.

Exam Management

Create and manage exams, schedule routines, assign subjects, and generate admit/seat cards.

Creating Exams

Define exams with title and academic year. You can create multiple exams per year (e.g., Midterm, Final).

Exam Routine

Schedule exams per class with subject, date, and time. The bulk scheduling feature lets you import multiple entries at once.

Admit & Seat Cards

Generate printable admit cards and seating arrangement cards for students. Export as PDF.

Exam Attendance

Track which students attended each exam session.

Results & Grading

Enter marks, compile results with automatic GPA calculation, and promote students to the next class.

Marks Entry

Select an exam and class, then enter marks per student per subject. The interface supports both CQ+MCQ and creative subject types.

Compile Results

Auto-compile marks into a result summary with GPA calculation based on your configured grade settings.

Grade Settings

Configure the grading scale: define mark ranges for each letter grade (A+, A, A-, B, C, D, F) and their GPA equivalents.

Student Promotion

After results are published, promote passing students to the next class in bulk.

Finance & Fees

Handle all financial operations: fee collection, expense tracking, payroll, and reporting.

Fee Collection

Configure monthly fees, exam fees, admission fees, and session charges per class. Record payments with discounts and multiple payment methods.

Expenses

Track institutional expenses by category (Salary, Utilities, Supplies, Maintenance, Other). Filter by month and category.

Payroll

Run monthly payroll for teachers and staff. Pay individuals or all at once. The system prevents double payments.

Reports

View daily/monthly financial summaries with key metrics. Export reports as PDF for accounting records.

Attendance

Track daily student attendance by class and section with real-time summaries.

Taking Attendance

Select a date, class, and section to record attendance. Mark students as Present or Absent.

Viewing Records

Attendance records are grouped by date and class. Click on any session to see the full student list.

Attendance Summary

The dashboard shows today's attendance percentage and a donut chart of present vs. absent.

Library Management

Manage book borrowing and returns with overdue tracking.

Borrowing Books

Record book checkouts for students with due dates. The system tracks currently borrowed, returned, and overdue items.

Returns & Overdue

Mark books as returned when submitted. Overdue items are highlighted for follow-up.

Student Library Profile

View each student's complete borrowing history and current loans.

Notices & Communication

Send targeted notices to students, teachers, or specific classes with attachments.

Creating Notices

Write a notice with title and body, select the audience (General, Teachers, or Specific Class), and attach files or images.

Targeted Communication

Filter notices by class, section, and department to reach the right audience. Push notifications are sent to the Android app.

Managing Notices

View all notices in a categorized list. Delete outdated notices as needed.

Academic Calendar

Create and manage academic events, holidays, and important dates.

Add events with titles, descriptions, date ranges, and color coding. The calendar view helps everyone stay informed about upcoming events.

Student ID Cards

Generate professional ID cards for students with photos and essential information.

Select students by class, section, or department and generate ID cards that display the student's name, photo, ID number, UID, blood group, date of birth, guardian info, and address. Export as PDF.

Admission & Requests

Handle join requests and new admissions through the system.

Review pending join requests, approve or reject them. Upon approval, user data is automatically synced to the appropriate module (student, teacher, etc.).

Tip: Graduated students are tracked separately with SSC batch information for alumni management.
